Ocala Fleet staff asked the City Council to authorize an additional $190,936 for four fire vehicles after the city missed a vendor discount for prepayment. The request would add to the councilโs original $1,960,044 authorization. Before the councilโs scheduled 4 p.m. meeting on Oct. 20, 2026, the agenda item had no recorded final action.
The request covers three light rescue vehicles and one pumper engine purchased from Matheny Motor Truck Company for Ocala Fire Rescue. A city staff report says the council approved the original amount on Nov. 19, 2024, and the city placed the orders on Dec. 10. The report lists invoices dated Feb. 7 and June 20, 2025.
Staff report cites miscommunication over prepayment
The staff report attributes the missed discount to a miscommunication among staff about the cityโs prepayment policy. It says the city did not pay upfront to receive the discount and that the final invoices came to $190,936 more than the original council authorization.
According to the report, Finance staff initially projected that prepaying would produce about $3,000 in net savings compared with keeping the money until the vehicles were delivered. The report also says the funds retained in city accounts earned about $135,063 in interest over 22 months. Matheny, it says, agreed to $56,000 in discounts on five other fire-rescue vehicles budgeted for fiscal year 2027.
The reported interest and future discounts total $191,063, or $127 more than the additional expenditure now requested. Those figures concern different parts of the cityโs vehicle purchases; they do not establish an overall net financial gain.
Budgeted funds identified for the request
The report says the fiscal year 2025โ26 budget included $2,070,000 for the vehicles and that no budget resolution was required. It identifies $111,621 in one city account and $79,315 in another as funding for the additional expenditure.
The council was scheduled to consider the request at Ocala City Hall. If approved, it would authorize the additional $190,936 described in the staff report. The agenda showed no final action before the meeting, so the request remained pending at that time.
